Client Service Administrator

Skipton, North Yorkshire, UK Permanent, Full Time £16500 - £16500 per annum

Ashberry Recruitment are looking to for an Administrator for our well-respected client in Skipton. The role is 35 hours per week, working in a bust office environment.  

 Primary Duties

  • To collect, open post, and distribute to the relevant team.
  • To save and print the daily reports then distribute accordingly.
  • To be responsible for the preparation/collation of all payment paperwork for clients including processing all remote payments and passing to Finance in a timely manner.
  • To be responsible for the checking of all payment forms, correcting errors and re-running reports as/when required. This also includes liaising with all staff in head office and sub offices.
  • To run the month end reports on the first working day of the month, to print and collate the statements, letters and client reports for distribution.
  • To support the back office by way of updating remittances, sending out assignment letters and setting up debtors.
  • Timely distribution of incoming faxes.
  • To collate and deliver documents for indexing.
  • To file indexed documents using the Tower system along with monitoring the volume of outstanding indexing and reporting any significant increases.
  • To ensure all reports and other data no longer required for immediate access are boxed and sent to storage or sent for indexing as appropriate.
  • Basement management.
  • Timely organisation of photocopying legal files in preparation for indexing.
  • When required carry out other administration duties.
  • List all the cheques received on a daily basis.
  • To ensure the factoring BACS transactions are checked back to I-Factor and all discrepancies investigated and reported.
  • Be responsible for printing reports for several clients who do not have access to Client Manager.
  • To put all cash batches in order and pull out all the paperwork for any un-allocated cash on a daily basis.
  • To assist back office at pressured times with cash processing / pulling remittances for the BACS preparation.

 Secondary Duties

  • Ability to work as part of a team or unsupervised if required.
  • Able to use own initiative and take responsibility.
  • Good interpersonal and communication skills.
  • Keep the Administration Assistant Manual up to date.

Experience /Competencies/ Knowledge Required

  • Minimum of two standard GCSE’s including Maths and English
  • Computer literate with accurate keyboard skills
  • Gathering and collating information
  • Ability to work accurately and efficiently
  • To demonstrate the ability to organise and prioritise a high workload
